Everyone knows that Monday is ‘meeting day’ at Escape but when customers mention it, it is with a sense of wonder. So I thought I should dispel all the mystery and let you know what actually goes on. Monday is a good day for meetings since it’s the beginning of the week and we can talk about priorities for the rest of the week. It’s also a good day because we have all employees in the office which allows for better group discussions and cross functional input on development and support issues. The format of the day and each meeting has evolved over the past few years and we feel it’s just the right mix.
9:00 – 10:00: Development Meeting Development, Testing and Technical Support attend this meeting where we review the status of CRs assigned to each developer and have a group discussion about any questions or problems they need help with. We also discuss development timelines and cutoff dates. If questions come up that require input from our Subject Matter Experts (SMEs) we jot those down to be answered in subsequent meetings that day.
10:00 – 11:00: Finance Support Meeting Finance, Training, Testing, Documentation and Project Managers attend this meeting. During this meeting we discuss company business and updates, review incidents and CRs that are nominated by either the support reps or project managers for the current release. We review the request and if it’s feasible and if so, we discuss how to implement. If we can’t come to agreement or need development input we assign the item to the Design Meeting which is held later in the day.
11:00 – 12:00: HR/Pay Support Meeting Exact format as the Finance meeting but with HR/Pay attendees and we discuss the incidents or CRs they nominate.
1:00 – 2:00: Open We do not have a standing meeting scheduled but the time slot is reserved for special topics that come up during the day.
2:00 – 4:00: Design Meeting Items are assigned to this meeting from one of the meetings earlier in the day, or the previous week if we ran out of time. For each agenda item we identify the developer and other SMEs required and they attend only the sessions that apply to them. We discuss suggested implementation of CRs and the background behind the requests.
As you can see we have a very full day on Mondays but we are as efficient as possible and only inviting the appropriate attendees to each meeting. Hopefully this brief description of the meetings helps you better understand what happens behind the scenes.
