Follow-up - Collaboration Day June 2019

Not all Collaboration Days are created equal, but they are all equally informative and they all foster communication among the Escape Family so they can openly share key information, discuss ideas, and open up about their concerns. 


Our June 2019 Collaboration Day focused primarily on four issues that are important to our customers:

  • STRS Pension Solution project update (presented by Susan Dickinson, Software Developer, Escape). Susan presented the new file layout, emphasized new records, shared proposed new fields needed in Escape Online.

  • Escape Online end user support (Stop/Start/Continue team exercise). In this exercise, customers formed teams of 8-10. Each team was requested to identify and share best practices in “start” and “continue” categories. Here are some of their findings for best practices:

    • Establish user groups

    • Hold one-on-one, hands-on work sessions

    • Organize collective webinar viewings

    • Schedule regular support calls with Escape

  • Timesheets in the new Employee Online Portal (presented by Tanya Karalets, Support Representative, Escape). Tanya presented the new timesheet types that would be available in the new Employee Online Portal.

  • Look and feel of our next-generation web-based product (presented by Jennifer Escamilla, Product Manager, Escape). Jennifer presented the Requisition Approvals activity which will be the first activity in Online 6.

During the morning session, Marie White from Sonoma COE facilitated discussions on topics such as retroactively changing position and addon accounts using the Position and Addon Account Retro activities. Marie also presented Sonoma COE’s HRA workflow. Later in the day, Consuelo Prado from Fortune School of Education shared their process for rolling out the Escape Employee Online portal to their employees and provided a sneak peek of video tutorials they’ve created for their end users. 

During the afternoon sessions, Tanya and Jennifer of Escape Technology presented new product designs and gathered customer feedback. We are excited and fortunate to be working on our next generation product in a collaborative environment, equipped with feedback from our customers. 

We wish everyone an amazing summer and we look forward to future encounters with everyone at one of the Beyond Escape User Conferences in the fall.

New Date for Collaboration Day!

We are moving our next Collaboration Day from May 17th to June 3rd. We hope this new date will enable even more customers to attend this trendy event. 


Are you wrapping up your May payrolls and getting ready for the last day of school? Please reflect on the past school year. Was it a successful year? Can you put your finger on what exactly contributed to your success? Or maybe there were lessons you learned? 

The focus of our June event will be user support:

  • How do you turn new hires into power users? 

  • How do you motivate your users to have a growth mindset? 

  • How do you structure your support teams so district users feel supported? 

If you are part of a team that assists your districts with Escape Online or Employee Online Portal, please be thinking of ways we can help you provide phenomenal support to your users and bring these ideas with you.

Save the Date - Escape Collaboration Day Spring 2019

Escape sponsors a series of day-long discussions called Collaboration Days. They are free events that provide opportunities for our customers to connect with each other, share best practices, and solicit feedback from each other. Escape has happily provided the space and expertise needed for collaboration and you, the customers, have facilitated and driven the discussion. During one of our collaboration days last year, Sonia Lasyone, Chief Business Officer at Travis USD shared how much she appreciated attending the event.

January 2019 Collaboration Day Follow-up

It was great seeing our amazing customers again at our sixth collaboration day. With 48 customers in attendance, there were a lot of conversations to have and amazing ideas to share.

I really enjoyed the discussion on non-positional pay encumbrances, a topic brought up by Laneia Grindle, Director of Fiscal Services at Fairfield-Suisun USD: If you have a separate object code for that specific expenditure, you can do the setup in chart of accounts – component – hourly encumbrance flag. You set an encumbrance and then the system will un-encumber every time you use that account code. If you would like more information about this topic, please contact your Finance support representative.

Ending the day, we wrapped up with a demo on our progress with the new Employee Online Portal and a discussion on new ideas for displaying leave information and dashboard graphs.

I am looking forward to our next Collaboration Day on May 17, 2019. It is going to be better than ever!
