Report Release 19.02.01 Is Now Available

The 19.02.01 Report Release is now available. HR/Payroll users will want to get their hands on the updated reports with capped leave balances and the new paper-saving Payroll Detail by Employee (PayDtl14) report, while Finance users will be thrilled with the updates to the MAA Salary (Fiscal54) report. For the complete release notes, please go to Online Resources - Release Information - Report Releases.

NEW! Pay Detail by Employee

Payroll users love the Pay Audit (Pay14) report for verifying pay, but sometimes the report is just too darn long. Users want to print the report, but they don’t want all of that paper, showing contributions, deductions and bank information when they are only verifying earnings.

We didn’t want to change the Pay Audit because it is such a fantastic tool, with customers sending it directly to the Report Warehouse, so we made a “copy” of it and gave users the ability to show/hide sections of the report. Amazing! You can show /hide position accounts, earnings, contribs/deducts and/or bank/ACH information.

Capped Leave Balances

We have updated all of the leave reports to show capped leave balances.

  • Leave Transactions (Leave01)

  • Leave Balance (Leave03)

  • Leave Batch Snapshot (Leave06)

  • Leave Balance Summary (Leave07)

  • Leave Balance Summary for Granted (Leave09)

  • Leave Transactions Without Running Balance (Leave11)

  • Leave Detail Snapshot (LeaveStatus99a)

(If you missed the new capped leave balances feature rolled out in 19.01, check out the Release 19.01 blog.)

SACS Rollup Reporting for MAA

The Medical Administrative Activities (MAA) – Salary (Fiscal54) report gathers account information for reporting costs for administering the Medi-Cal program to CMAA. This is a great tool that saves a ton of time, but some customers wanted the account information to use SACS Rollup values as opposed to the Object codes defined by the district. Well, now that option is available with the new SACS parameter.

Escape Online, Release 19.01 Is Now Available

Escape Online, Release 19.01 is now available. This release is full of some popular productivity improvements and two brand new features that everyone is going to love!

New Features

We have two great new features in this release. Everybody is going to be excited about site-based budgeting and capped leave balances! We also have another mass change activity for employee benefit providers.

Site-based Budgeting (Allocation of Funds)

We have spent the last year or so working with customers to develop a feature set that would allow budget analysts to push out the data entry for discretionary funds. Now, with three new activities, budget analysts can define and manage site user allocations.

  • Funding Groups - Designate the filters and components that will define the allocation account groups that users can modify in the Budget Allocation Entry activity.

  • Budget Allocation Management - Manage the allocations by opening and locking data entry. Direct edit list for budget analysts.

  • Budget Allocation Entry - Enter the amounts or FTE for the budget allocation line item. Dedicated activity for site-based users and budget analysts.

Capped Leave Balances

Now, you can set up leave balances to be capped by other leave balances. This gives districts the ability to define secondary (dependent) leave balances that cannot be greater than a primary leave balance (e.g., PN is capped by SL). The setup in the Leave Balance Profile is super easy and we provided transparency in both the Leaves tab and the Leave Transaction activities.

Productivity Improvements

New features are always great, but getting the most out of current features is a bonus, too! Here are some highlights from the 19.01 release.

Invoice Sort Order

Now, you can define the sort order for printing invoices. We have added a Print Invoice Sort Order field to the Department record so you can define the print order for invoices. What a time saver! Plus, we added a read-only field to the search page, providing visibility to the sort order defined.

Addon Goals

Now, you can define an earnings goal in an addon. Earnings goals are an automatic method of stopping an employee’s addon pay once a specific amount is reached for a specific addon. Districts use addon goals to control the amount paid for stipends, benefit payments, longevity, etc.

Portal User Search

So many customers are using the Employee Online portal that they need a better way to manage all of those users (thousands upon thousands!). That prompted us to convert the Portal Users activity to a search/list/form. Now, you can search for portal users and review them from a list.

While we were making it easier to manage your users, we took the opportunity to improve the visibility and access to portal user information in the Employee record. Now, organization managers can re-enable an employee's portal login from the Employee record using a new task!

More Information, More Options

For HR users, we have some exciting changes to the Employee01 and Employee05 reports. The Race and Ethnicity Listing (Employee05) report has been renamed and revamped. It has new parameters, new permissions, and new sort options.

The Employee Directory (Employee01) report has also seen an incredible reconstruction. We expanded filtering, added more options, updated parameters to allow you to select multiple from the lookup, and we added permissions for locations and divisions for Admin users.

Filter to Your Heart’s Content

For Payroll users, the Payroll Audit by Employee (Pay14) report has been completely revamped. We added a dozen parameters for filtering the pay detail of addons, contributions and deductions. We updated the Pay Date parameter so you can enter a single date or a range of dates, and we added ACH information to the report output.

Get the Data Your Way

For Finance users, the Transaction Activity by Account (Ledger07) report now has an Excel export option. Auditors and power users are going to love the ability to export that data and slice and dice every which way!
