The volume of data managed by HR in a school district is remarkable. So, our design is very comprehensive and flexible. Position Control drives both Budget and Payroll. The Employee record is our most comprehensive record with extensive auditing. Information includes demographics, pay cycle, taxes, retirement, ACH setup, deductions, contributions, assignments, addons, leaves, benefit provides, dependents, benefits, subjects, credentials, seniority, education, evaluations, authorizations, assets, attachments and notes.
If a screen doesn’t have a field or two that you require, don’t worry. We support custom fields. How about an entire form? We support custom forms, too.
Positions & Employees
Employees can have any number of positions, and positions can have any number of employees. Have the same funding for a number of positions? Then, you can have multiple FTEs in one position. The system keeps everything straight, including not allowing any employee or position to exceed the maximum FTE.
Provide access to information on a need-to-know basis. User permissions control access to activities (e.g., employees, positions, salary schedules), tabs within activities (e.g., benefits, taxes, position accounts), tasks (e.g., view SSN, edit SSN) and notes/attachments (e.g., payroll notes or scan of driver's license).
The main tab of the Employee record has many flags for defining professional requirements, including driver license, TB, coach training and more. And, the Education record associated with the Employee provides tracking and management of training, licensing and other professional development and training.
The Evaluations tab of the Employee record includes mass creation, reporting and visibility via the Employee Online Portal.
Escape Online opens all of the possibilities for leave processing. Using simple setup logic, leaves process with payroll, docking employees if desired, paying off at the end of the year, transferring balances. And, of course, the ability to override for those unique circumstances. HR technicians can enter leaves one at a time, by batch using a template, or through a spreadsheet. And, of course, employees can enter their absences via the Employee Online Portal.
With a few mouse clicks, you can import files from SubFinder, Aesop or a generic CSV (comma-separated values), tying leaves to substitutes, updating the employee’s record and creating pay automatically.
Bargaining Unit Requirements
You can affect multiple balances with cascading logic, grant for one or all positions and customize grants, cutoff dates, and carryover based on years of service.
Workflows Eliminate the Paper
Workflows are used for routing documents like payroll and employee changes through the software. Workflow definitions are open-ended, allowing numerous approval levels and document routing. The trigger for a workflow is based on the document’s events, such as a change request for an employee is terminated, etc. When an event occurs, then you get to decide what happens next. Are users notified?
While the setup is in the System module, tasks may be assigned to non-system managers. This allows non-system managers, like HR Directors, to create and maintain workflow definitions, controlling business rules without the intervention of system managers.
Run standard, custom, county, org-level reports and snapshots. Print any page range. Run for distribution groups. Use My Reports to save the reports you generate.
Complex searches are simple to enter and easy to understand. Create just-the-right list, using lookup windows and interactive calendars. Be more productive by using one of the many mass-add activities for evaluations, contributions, deductions, employee demographic changes and more! Searching results in a list can be sorted by any column, and every list can be viewed in our DataGrid, and exported to Excel spreadsheets!
